Deadlines & Policies


Early Registration Deadlines:

 

The early registration deadline is April 9, 2012 after which most registration rates increase.  


Rates increase again after June 1, 2012 through on-site registration.



Registration Confirmations:


On-line registrations:  All on-line registrations will be immediately confirmed via email to the attendee email address provided. You are able to enter a second email for a duplicate copy of the registration confirmation.

Fax or mail registrations:  All fax or mail registrations will be confirmed via email upon receipt if an email address is provided.

Registrations that do not provide an email address will NOT be sent a confirmation.


Cancellations, Refunds, and Substitutions:


All cancellations and requests for refunds must be submitted to AWEA in writing via email to conference@awea.org or by fax to (202) 293-2567. Refunds may not be processed until after the completion of the conference.

All refund requests received by April 9, 2012 will be processed less a $75 administrative fee.

Refund requests made after April 9, 2012 but by May 25, 2012 will be processed less a $150 administrative fee.

There will be no refunds made for cancellations after May 25 or for no-shows and registration fees may not be transferred to a different AWEA event. However, substitutions are permitted for no charge. Email information on substitutions to conference@awea.org.

No special events (Industry Essentials, Opening Reception, or Conference Dinner) can be refunded after Friday, May 25 even if the remainder of the registration will be used.

 

No downgrades (for example from a main conference to an exhibition only) will be possible after Friday, May 25 although you may “upgrade” your registration to a higher registration category (for example exhibition only to one-day conference) after this time.
 

Any refunds to credit card payments may only be credited back to the original credit card and cannot be refunded to a different card.
 

 

Registration Changes:


You may make changes to some of your contact information as well as add special events and tickets to your registration by clicking here.


Registration Materials:


Attendee badges and materials may be picked up on -site at the event. Badges and materials will not be mailed in advance. Registration will be held in the Registration Hall between Buildings A and B at the Georgia World Congress Center during the following hours:

Saturday, June 2, 8:00 am – 5:00 pm
Sunday, June 3, 8:00 am – 7:00 pm
Monday, June 4, 7:00 am – 5:30 pm
Tuesday, June 5, 7:30 am – 5:30 pm
Wednesday, June 5, 7:30 am – 2:00 pm

Smaller hotel satellite registrations will be available for pre-registered attendees and exhibitors at the Omni Hotel and Marriott Marquis hotels during the following hours:

 

Saturday, June 2, 3:00 pm - 8:00 pm
Sunday, June 3, 7:00 am - 7:00 pm
Monday, June 4, 7:00 am - 11:00 am

 

Dietary Restrictions / Disabilities / Special Requests:


If you need special accommodations or have specific dietary needs or allergies, please indicate those items when you register on-line or on the fax / mail registration form. Email conference@awea.org as early as possible to ensure we have enough time to arrange for your needs. All catered functions will provide vegetarian options.


VISA Invitation Letters: 


Before an invitation letter can be provided, you must register for the conference and payment must be received via credit card, check (in US funds drawn on a US bank) or wire transfer. At that point, an invitation letter will be provided through the Registration Resource Center. Once an invitation letter has been provided, the remaining requirements of VISA application, necessary documentation, embassy or consulate interviews, etc... are the sole responsibility of the attendee. Should the VISA application be denied or not approved in time to attend the event, AWEA will refund the full registration fee back to the original credit card or by check if the original payment was provided by check or wire transfer. Simply email conference@awea.org should you not be able to attend the event due to VISA application related issues.


Conference Attire:


The attire for WINDPOWER 2012 is business professional.


General Sessions:


The General Sessions and are open to ALL registered attendees and exhibitors.  Please refrain from bringing in large bags or backpacks. No videotaping or flash photography will be allowed.


Please Note: AWEA reserves the right to eject any registrants without any prior notice or refund if while at the conference their behavior is deemed disruptive, offensive, dangerous, illegal or if they are found to be distributing unauthorized material.
